As I said in some of my early posts about the DSSG and refunds, we do have a policy regarding cancellations and our policy is right in line with virtually all policies for star parties across the country. Our policy is - "No refunds after the early registration cut-off date (this year that was October 27th) at which time, on the following Monday, the 29th, I lock in our numbers with the venue. That policy is written on our registration form. As is, our early registration/refund date is 10 days out from our event; other major star parties have deadline dates which are typically 3 weeks to 1 month before the start of their events.
This year we did not meet the contracted minimum numbers that were set with the venue, so I am having to make up that shortfall by dipping into our registration receipts to the tune of about $500.00. In years past, funds permitting, I could and would deviate from policy by refunding the registration, but not the amount paid to the venue for lodging and meals. Due to having to use some of our registration receipts to pay the venue for the shortfall this year, I cannot offer that.
There is a slim possibility that if we go over our contractural minimum and I get others that want to register and pay for housing and/or meals I will apply what they pay to a refund. However at this time since we are under our contractural minimum it does not look like that will happen. (I have had a few late registrations over the past two days but I am still below our contractural number. For those that do contact me and tell me that they will not be coming for any reason, I have a list putting registrants in the order of their call or email for a potential refund, but as I said, I really do not see that happening.
As of the forecasts today, we should have some clearing and some observing on both Tuesday and Friday. Saturday looks to be better with clear skies in the forecast. There are things to do and see in the area. We have planned programs for both Friday and Saturday and I have additional programs that can be shown on earlier days. I also have movies available that we can watch and the White Horse Retreat Center has a game room with pool tables, bumper pool and air hockey.
